This Privacy Policy explains how we handle personal information when you contact us — by phone or by submitting a form on our website — to enquire about our treatments or to arrange a free consultation. We are committed to handling your information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This policy covers the information we collect when you make an enquiry or book a consultation. It does not cover clinical or medical records — if you go on to become a patient, we will provide you with further information at your consultation about how your medical/clinical information is handled.

1

Who We Are

Precision Hair Clinic is the "data controller" for the personal data described in this policy. If you have any questions, contact us using the details above.

2

Information We Collect

When you submit an enquiry form, we collect the information you provide, which is typically:

  • your name, email address, and phone number; and
  • any message or details you choose to include about your enquiry.

When you call us, we collect the information you give us over the phone, such as your name, contact details, and the nature of your enquiry.

Complete before publishing If calls are recorded for training, quality assurance, or dispute-resolution purposes, confirm this here and how long recordings are kept.

Automatically collected data: like most websites, we may also collect technical information (such as IP address and browser type) via cookies — see Section 7.

We do not ask you to provide medical or health information through our website or during an initial call. If you choose to volunteer such information in a form message or during a call (for example, describing your hair loss), we will treat it as special category data under UK GDPR and handle it with extra care, relying on your explicit consent to do so, or because it is manifestly made public by you providing it voluntarily to us for the purpose of your enquiry.

3

How We Use Your Information

We will not use the information you give us at enquiry stage for any purpose beyond responding to you, arranging your consultation, and (where you've opted in) marketing, unless we tell you otherwise and, where required, obtain your consent.

4

Sharing Your Information

We do not sell your personal data. We may share it with:

  • Service providers who help us operate our phone lines, contact forms, CRM, or email/newsletter tools, acting on our instructions;
  • Regulators or authorities, where we are legally required to do so.

If you proceed to a consultation and then to treatment, further information may be shared with our clinical team as part of your care — this will be explained separately at that stage.

5

International Transfers

Some of the tools we use to manage enquiries or send our newsletter may store data outside the UK/EEA. Where this happens, we ensure appropriate safeguards are in place (such as the UK International Data Transfer Agreement or adequacy regulations) before any transfer occurs.

Complete before publishing Confirm and name specific providers, if applicable.
6

How Long We Keep Your Information

  • Enquiry details (from forms or calls) that do not lead to a consultation are kept for e.g. 12–24 months and then deleted or anonymised.
  • If you attend a consultation, your enquiry details will be retained alongside any consultation/clinical records in line with our clinical record-keeping policy, which will be explained to you separately.
  • Newsletter/marketing data is kept until you unsubscribe or ask us to delete it.
7

Cookies

Our website uses cookies to make it function properly and to help us understand how visitors use it. You can control or disable cookies through your browser settings.

Complete before publishing If you use a cookie consent banner, insert or link to a full cookie table here.
8

Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate or incomplete data;
  • Erase your data in certain circumstances;
  • Restrict how we use your data;
  • Object to processing based on our legitimate interests or for direct marketing;
  • Data portability, where applicable; and
  • Withdraw consent at any time where we rely on it (this does not affect processing already carried out).

To exercise any of these rights, contact us at info@phclinic.co.uk. We will respond within one month, as required by law.

9

Marketing Communications

We will only send you marketing communications (such as our newsletter) if you opt in. You can unsubscribe at any time via the link in any marketing email or by contacting us directly. This will not stop us contacting you about an enquiry or consultation you have already made with us.

10

Children

Our services are intended for adults. We do not knowingly collect personal data from children through our enquiry forms or phone lines.

11

Changes to This Policy

We may update this Privacy Policy from time to time. We will post any updates on this page with a revised "last updated" date.
